1. About this policy
Room64 provides software, AI and automation development for businesses. This policy describes data handling through room64.net and communications with Room64 by email, LINE or Facebook. Contact the team responsible for personal data at hello@room64.net.
Services or apps that identify this as their privacy policy fall within the scope described here. Please also read any service-specific privacy notice. Where Room64 processes data on behalf of a business customer, we handle that data under the instructions and agreement of that customer as the data controller.
2. Information we may receive
Information you provide when contacting us, such as your name, email, phone number, organization, messages, project details and files you choose to send for inquiries, quotations or support. Please provide only information that is necessary and that you are authorized to share.
Website usage information, such as pages visited, clicks, visit times, referral sources, device and browser types, and cookies or online identifiers. Hosting providers may process IP addresses and technical logs to deliver the website and protect its security.
If you use a service connected to Facebook, Messenger, Instagram or other Meta platforms, the information received depends on the feature and permissions granted. This may include authorized profile information, account or Page names and identifiers, messages and attachments sent to a business, or information needed to maintain the connection. Visiting this website alone does not authorize access to your Meta account.
3. Purposes and grounds for processing
We use information to communicate, respond to inquiries, assess requirements, prepare proposals, deliver agreed services, troubleshoot, protect security and meet legal obligations. Usage statistics help us understand and improve the website.
The grounds for processing depend on the activity: steps you request before a contract or performance of a contract, legal obligations, legitimate interests balanced against your rights, or consent where required. Using the website does not constitute blanket consent to all processing purposes.
Meta data is used only to provide the services or features you or your business authorize, subject to platform requirements. We do not sell personal information or data received from Meta.
4. Cookies and Google Analytics
This website uses Google Analytics through the Google tag to measure visits and usage. Google Analytics may use cookies and online identifiers, together with device, browser and website activity data.
You can manage or delete cookies in your browser and use the Google Analytics opt-out add-on in supported browsers. Deleting local cookies does not delete information already transmitted. To request deletion of information relating to you, follow the Data Deletion instructions.
5. Recipients and external services
Information may be processed by providers necessary for our operations, including Cloudflare for hosting and content delivery, Google for visitor statistics, and email or communication providers for the channels you use. Customer system integrations and AI providers depend on the scope and agreement for each service.
We disclose information as necessary for these purposes or legal obligations. Some providers may process information outside your country, subject to the safeguards and conditions required by applicable data protection law.
Links to Facebook, LINE or other websites take you to third-party services with their own policies and terms.
6. Retention and security
We keep information as needed for communication, service delivery, legal obligations and dispute handling. Retention depends on the information, service relationship, agreements and applicable requirements. When no longer needed, information will be deleted or anonymized.
Access to information should be limited to people who need it for their work. Internet transmission and storage involve risks, and absolute security cannot be guaranteed. Do not send passwords or access tokens through general contact channels.
7. Your rights and requests
Subject to applicable law, you may request access or a copy, correction, deletion, restriction or objection to processing, portability, and withdrawal of consent where processing relies on consent. Withdrawal does not affect lawful processing before withdrawal. You may also complain to the competent data protection authority.
Send requests to hello@room64.net. We may ask for information necessary to verify that the data belongs to you. If we process the information for another business, we will help coordinate the request or direct you to that business as the controller. See Data Deletion for deletion instructions.
8. Policy updates
We will update this page and the date above when our services or data practices change. Where additional notice or consent is required, we will follow the applicable requirements.
